Zoho CRM — the one that matters

This is what 90% of people on this page actually want: someone books a call, and the lead, the meeting and the notes appear in Zoho CRM without anyone retyping them. Build it in three steps, in this order:

1 Find Record — search Leads and Contacts on the booking email The duplicate-prevention step. Do this before you create anything.
2 Create/Update Record — Lead if they are new, Contact if they exist Push name, email, phone, and the appointment type. Set Lead Source to something honest like “Booked a call” so you can report on it later.
3 Create Record → Meetings (Events), linked to that Lead/Contact, dated at the appointment start Without this, Zoho knows who but not when. The meeting is the whole point.

Put the answers to your booking-form questions into the meeting description. If you ask “what do you want to cover?”, that sentence is worth more to the rep than everything else in the record.

The rest of the Zoho suite, honestly

Zoho Books / Invoice New Appointment → create or find the customer in Books, and raise a draft invoice for billable appointment types. Note that Bookafy already takes deposits and payments at booking through Stripe or Authorize.net — so for most businesses this is about the accounting record, not about getting paid.
Zoho Campaigns New Appointment → add the contact to a list and tag it. Then suppress your nurture emails for anyone with a call booked. Ten minutes of work, and it stops you marketing at someone you are about to meet.
Zoho Desk Put your Bookafy booking link in a Desk macro. When a ticket needs a call, the agent sends a link instead of six emails about times.
Zoho Expense, Inventory, Backstage, Social These are technically reachable through Zapier, and we are not going to invent a reason for you to connect them. An appointment does not create an expense, adjust stock, or publish a post. If you have a real workflow that needs one of these, our API and webhooks will do it — but do not build it because a page told you to.

The trap: no cancellation or reschedule trigger

Bookafy fires a Zap when an appointment is created. It does not fire one when the appointment is cancelled or moved. In a CRM, that means a Zoho Meeting sitting at 2pm Tuesday for a customer who rebooked for Thursday — and a rep who dials at the wrong time.

Two ways to deal with it. The proper fix is a Bookafy webhook into Zapier’s “Catch Hook”, updating the Zoho meeting on the change event rather than creating a second one. The cheap fix is to tell your team that the synced calendar is the source of truth — Bookafy syncs 2-way with Google, Outlook, Exchange and iCloud, so the rep’s actual calendar is right even when the Zoho record is stale.

One more timing note: on Zapier’s free plan, triggers poll every 15 minutes, so records can lag the booking. And the three-step CRM build above is a multi-step Zap, which needs a paid Zapier plan.

The direction people forget

Getting bookings out of Zoho is smaller work with a faster payoff. Add your Bookafy booking link to your Zoho CRM email templates and your Desk macros, give every rep their own link so meetings land on the right calendar, and use a round-robin page for inbound leads. No automation, no Zapier bill — and it removes the back-and-forth that kills most follow-ups.

Questions people actually ask

Is there a Bookafy app in the Zoho Marketplace?

No. Bookafy connects to Zoho CRM and the rest of the Zoho suite through Zapier or Make, or through Bookafy’s webhooks and open REST API.

How do I stop bookings creating duplicate leads in Zoho CRM?

Begin the Zap with Zoho CRM’s Find Record action, searching Leads and Contacts on the booking email address, and only create a record if nothing is found. Never lead with Create Record.

Will the Zoho meeting update if the customer reschedules?

No. Bookafy has no reschedule or cancellation trigger in Zapier. Use a Bookafy webhook into Zapier’s Catch Hook to update the meeting on change, or treat the synced calendar as the source of truth for the time.

Can Bookafy raise an invoice in Zoho Books?

Yes, via Zapier — a new appointment can create or find the customer in Books and raise a draft invoice. Remember that Bookafy can already take the deposit or full payment at booking through Stripe or Authorize.net, so this is usually about the accounting record rather than collecting the money.

What about Zoho Expense, Inventory, Backstage or Social?

They can be reached through Zapier, but an appointment does not naturally create an expense, move stock or publish a post. If you have a genuine workflow that needs one of them, Bookafy’s API and webhooks will support it — but there is no reason to connect them by default.
