A unique Zoom link on every booking
Short version: Connect Zoom to Bookafy once, and every appointment that gets booked generates its own unique Zoom link automatically. The link goes in the confirmation email, the reminder, and the calendar event. Nobody has to create a meeting or paste a URL.
Most people schedule video calls by pasting their personal meeting room link into every invite. It works right up until two calls overlap and your 2pm walks in on your 1:30. Or the client books, gets a confirmation with no link, emails you asking for one, and you have now done manual work on an “automated” booking.
Bookafy generates a fresh Zoom meeting per appointment, at the moment of booking, and attaches it everywhere the customer will look for it.
It is an OAuth connection from your Bookafy dashboard: you sign in to Zoom, approve access, and that is the setup. There is no API key to generate and nothing to paste.
Two things to know. The Zoom connection is per user, so on a team each person connects their own Zoom account and gets their own meetings — a booking routed to Priya creates a meeting on Priya’s Zoom, not on a shared one. And Zoom’s own plan limits still apply: on Zoom’s free tier, group meetings are capped at 40 minutes. Bookafy will happily book you a 60-minute appointment; Zoom is the one that will end it early.
Bookafy auto-generates meeting links for Zoom, Microsoft Teams, Webex and GoToMeeting. You can set the video tool per appointment type, which is more useful than it sounds — a lot of businesses run internal calls on Teams and client calls on Zoom, and you can have both live on the same booking page.
| You want | Do this |
|---|---|
| A unique Zoom link per booking | Connect Zoom in Bookafy. Built in, no Zapier. |
| Different video tools for different services | Set the meeting provider per appointment type. |
| An in-person or phone appointment | Leave the video provider off for that appointment type — Bookafy will use a location or phone number instead. |
| A record of the call in your CRM | Zapier or the Bookafy API (see below). |
Bookafy is a published Zapier app. The triggers and actions available today:
So “when someone books a Zoom call with me, create the lead in my CRM and post it to Slack” is a normal Zap. Be aware Zapier polls — on the free Zapier plan it checks every 15 minutes, so it is not instant — and there is no cancellation trigger. For real-time reactions, use Bookafy’s webhooks and open API.
Each appointment gets its own meeting, created at booking time. No overlapping calls in the same room.
No, but Zoom’s free plan caps group meetings at 40 minutes, and that cap is Zoom’s, not ours.
Yes. Each user connects their own, and the meeting is created on the account of whoever the booking is routed to.
All three work the same way — Bookafy auto-generates the link for whichever provider you pick.
Bookafy also connects to 3,000+ apps through Zapier and Make, and offers an open API and webhooks for anything custom.
